This individual provides phone management, data entry, and administrative support for office operations.
What you will bring to the Team:
You are willing to serve with a positive attitude, strong people skills, a polished first impression, detail oriented, collaborative, a problem solver and an experienced professional with an ownership mentality Tasks Welcome in-person clients by name in a warm and friendly manner, direct any questions that arise Answer and direct phone calls in a polite and friendly manner Maintain reception area and all common areas in a clean and tidy manner at all times Cultivate relationships with new and existing clients through client contact and service Maintain office materials, including marketing materials and prospectus, kitchen supplies, bathroom supplies, and all other office supplies Maintain client information records through digital and physical filing, scanning and data management Assist in maintaining and developing client lists, e-mail distribution lists, etc.
Manage mass mailing projects Manage daily mail and checks Follow through and follow up on team commitments to client, client communications, meetings Maintain calendar and manage scheduling for select team members Learn, maintain knowledge of, and show ability to apply compliance standards Commit to grow into increasing level of knowledge related to wealth management Other duties as assigned Required Skills Excellent interpersonal and soft skills Strong written and oral communication skills Welcoming and polished demeanor Focused on complete client care and delivering on promises made to clients Proficient knowledge of the financial services industry or willingness to learn Familiarity with Microsoft Office Suite, Outlook, Excel, Adobe Acrobat, CRM (preferred), Client Service System (preferred), NetX (preferred) A 'solutions focused' mindset when addressing a challenge Strong attention to detail with the ability to work with a high degree of accuracy and ability to work expeditiously Demonstrated organizational and time management skills and ability to multitask and meet deadlines Ability to proactively identify what needs to be accomplished and take action as appropriate Ability to embrace change, to be flexible, and work in a fast-paced environment Ability to document work processes to work both independently and in a team Publicly represent the firm's strategic brand Benefits for full time Team Members:
